Lead funnel — stages and automatic transitions

Each lead has a stage that indicates where they are in the sales process. ZeroChats moves leads between stages automatically as the conversation evolves.

The AI evaluates each message and moves the lead to the next stage when the condition is met.

You can work with your leads from three views that coexist in the dashboard:

  • List — table with every lead. Designed to review and filter many at once (by stage, tag, agent, date, etc.).
  • Visual funnel — kanban with one column per stage. You see how many leads you have at each phase and can drag a lead from one column to another to change their stage manually.
  • Message inbox — list of conversations to reply lead by lead, without leaving the chat.

The three views work on the same data: any change (stage, tag, automation) is reflected instantly in the others.

StageMeaning
DiscoveringNew lead, conversation still active and unclassified.
QualifyingThe AI is evaluating whether the lead fits your offer.
ProposalQualified, ready to receive the sales proposal.
BookedHas a confirmed appointment on the calendar.
ClientHas purchased or signed up.
UnqualifiedDoesn’t fit your offer.
LostWent silent or abandoned the conversation.
OpenConversation started by the business (outbound).
PostponedPaused for now; contact manually later.

You define natural-language conditions for when to move a lead to a stage. Some examples:

  • To move to Qualifying: “when the lead clearly explains what they’re looking for”.
  • To move to Proposal: “when the lead has shown explicit interest and is ready to receive the offer”.
  • To move to Booked: “when the lead has confirmed an appointment”.
  • To move to Client: “when the lead has made a purchase or signed up”.
  • To move to Unqualified: “when the lead clearly doesn’t fit (wrong location, no budget, etc.)”.
  • To move to Postponed: “when the lead asks you to reach out later”.

The AI evaluates these conditions after every message. If a condition is met, the lead moves to that stage. An empty condition leaves the transition disabled.
